Add or update a community listing

Our community directory links residents with local groups, clubs, and essential services within our municipality. Eligible groups can create a free directory listing and have the opportunity  to promote community events on our website.

Add listing

Step 1.Eligibility

To be eligible for potential inclusion into the community directory, your group must:

  1. operate within or near the Swan Hill Rural City Council area (within 40km of its boundary)
  2. be either a community-based group, a not-for-profit organisation, a health service provider, provide free community services, or be a registered early childhood care/education provider.

Please note that we do not accept business listings. Only one directory listing per service/program is allowed. Read our fill Terms of Use in the terms tab.

Step 2.Create a 'MyCity' account

We suggest that you create your account using a generic and valid email address applicable to your organisation.  Avoid using a private/personal email address. This ensures seamless access for other authorised members to take control of your page, if necessary.

Step 3.Verify your email address and login

After you have created your account you will receive an email with instruction on how to verify and log in.

Step 4.Add your directory listing and / or event

Select 'Submit directory' or 'Submit event'

  • Complete all fields
  • Select all categories that apply to your group
  • Ensure that you have the rights to use and distribute any supplied images. 
  • Please do not include images of people, as these will not be accepted.
  • Submit your listing/event for approval

Step 1.Log in to your 'MyCity' account

Select 'Manage your listing'.

  • You will see all your listings and events on this page
  • Find the relevant event, and select the three dots under 'manage'
  • Select 'Edit page'
  • Update the details
  • Submit your listing for approval. 

Claim listing

Does your organisation have a listing, but you don't have access to update it using the 'Your MyCity' online portal yet? Follow the below instructions to claim and start managing a listing.

Send an email to council@swanhill.vic.gov.au with the following details:

  1. Details on which directory listing or events you require access to
  2. Your MyCity account details where the listing should be transferred - include name, email and phone
  3. Details on how are you associated with the organisation and why the listing needs to be transferred

MyCity Terms of Use

MyCity is a community directory platform designed to connect residents with local groups, clubs, and community services. Offered by Swan Hill Rural City Council, this service includes a free directory listing and the opportunity to advertise events on our website.

Eligibility

To be eligible for the community directory and to be assessed for potential inclusion into the community directory, your group must:

  1. Operate within or near the Swan Hill Rural City Council area (within 40km of its boundary).
  2. Be either a community-based group, a not-for-profit organisation, a health service provider, provide free community services, or be a registered early childhood care/education provider.

Please note only one listing per service/program is allowed.

We will not list:

  • Profit-driven services, commercial businesses, or political organisations, barring some exceptions at Council discretion.
  • Only legitimate groups, clubs and organisations whose activities are deemed non-discriminatory and lawful community-based groups or not-for-profit organisations within the municipality will be considered.
  • Council has the sole and absolute discretion to decide whether an organisation’s profile is listed. 
  • Supporting documentary evidence for Council determination on eligibility may be requested. 

Creating your Listing

  • You will need to register for a 'MyCity' account. This account must be created using a generic and valid email address or phone number applicable to your organisation. We strongly discourage the use of personal email addresses or phone numbers. Once registered, you can use your 'MyCity' account to submit and maintain your listing.
  • Once logged into 'MyCity' user account you can submit your listing by selecting and filling out the relevant form fields found on your dashboard. As a submitter, you must ensure that you have the rights to use and distribute any supplied images.
  • Once your listing has been submitted a member of Council will review your listing prior to publication to the Community Directory. It may take up to seven business days for Council to review and approve your request.

Your responsibilities

  • It is the responsibility of the group to maintain their own directory listing, including ensuring all details remain up-to-date and are true and correct. Council will not accept responsibility or liability for any errors.
  • You will automatically be sent review notifications every six months for your listing.  If you need to make any changes, you can do this in the ‘Manage Pages’ section of your account. Emails will be sent from noreply@opencities.com – please make sure you add this to your ‘safe sender’ list as some email clients have strict spam filters that may send correspondence to your junk mail folder.
  • By registering the group on the Community Directory the group acknowledges the information will be publicly available for anyone to access.

Appropriate use of material and information

  • Any illegal use of material created for publication on the platform which breaches any law or regulation in force in Australia is prohibited.
  • Council, as administrator, may refuse, or remove any listing profile, or any links to a website contained in a profile, at any time, for any legal reason.
  • Council as administrator may choose to remove information which, in the opinion of Council, is political, racist, unlawful, threatening, abusive, indecent, pornographic or defamatory.
  • Council as administrator may choose to provide a reason why a profile or any content contained in a profile was edited, rejected or removed.
  • Council may modify or discontinue any service contained on the website at any time for any reason.

All listed material is subject to the parties own protected Intellectual Property Rights and responsibilities.

Compliance

  • It is unlawful to discriminate on the basis of sex, pregnancy, age, race, disability, political or religious beliefs unless covered by an exemption under relevant legislation. Swan Hill Rural City Council will not accept community listings that appear to be contrary to law.
  • Council reserves the right to reject, edit or remove any listing from the Community Directory at its discretion.

Privacy

  • It is the responsibility of the group to use a generic and valid email address and protect their own username and password details for login to their listings account on Swan Hill Rural City Council’s website. If you suspect your account has been compromised, please reset your password and inform Council immediately.
  • Swan Hill Rural City Council is committed to protecting your privacy. Please read and refer to our Privacy Policy for more information.
  • By registering your group/organisation in the Community Directory, the information provided will be publicly available for anyone to access, copy and download from Council’s website. It is the responsibility of the listing organisation to ensure the information provided can be made public. Entry of the information in the Community Directory registration form is deemed to be considered for administrators to disclose that information as part of the Community Directory.

Liability and indemnity

  • Council accepts no liability or responsibility for any loss or damage, either direct or indirect, incurred by community groups as a result of any failure, inability to use or access, or any delay in listing your organisation on the Community Directory or any related site.
  • The community group indemnifies Council against all claims, actions, suits, liabilities, costs and expenses incurred as a result of their listing on this site or any related site.

Updates

  • These terms and conditions may be subject to change and periodically updated to reflect any changes and we encourage you to regularly review the terms and conditions.
  • Council will indicate at the top of the terms and conditions when it was most recently updated and will update any material changes as required by law. 

What happens with your information?

Information requested on this form is required by Swan Hill Rural City Council in order to process your application.

We will handle any personal information you provide on this form in accordance with the Privacy and Data Protection Act 2014. We record this information on our customer databases and make it available to relevant Council staff in line with our Privacy Statement.

What happens next?

  • You will receive a confirmation email once your listing or event is approved and published on our website.
  • It may take up to seven business days for Council to review and approve your request.
  • You can then log in to manage/update the event details .
